What is a fan coil unit, and why does maintenance matter?
A fan coil unit is a terminal device that passes chilled or hot water from a chiller or boiler through a coil and blows air into the room with a fan. Hundreds of them are found in hotel rooms, hospital floors, offices and shopping malls, and they are the final link in direct contact with the occupied space.
In a fan coil unit with a clogged filter, airflow drops and the room does not reach the desired temperature; water and dirt collecting in the drain pan cause bad odors and microbial growth, and an overflowing pan leaves water stains on the ceiling. Bulk, documented maintenance protects both comfort and indoor air quality.
What does fan coil unit maintenance include?
- Filter cleaning or replacement
- Coil fin cleaning and fin straightening
- Drain pan cleaning and disinfection
- Drain line clearing and flow test, condensate pump check
- Fan and fan motor cleaning, bearing noise check
- Motor current and speed (low/medium/high) test
- Valve, actuator and air vent check
- Thermostat and room sensor calibration check
- Water inlet-outlet temperature difference measurement
- Cabinet, insulation and hanger check
- Grille, diffuser and plenum cleaning
- Maintenance report per unit with room/number list

Maintenance intervals: which task, how often?
The table below shows the typical maintenance schedule we follow on site. Exact intervals are set in the maintenance plan based on manufacturer instructions, operating hours and how intensively the facility is used.
| Job | Every 1–3 months | Semi-annual | Annual |
|---|---|---|---|
| Filter cleaning / replacement | ✓ | ✓ | ✓ |
| Drain pan check | Control | Cleaning | Cleaning + disinfection |
| Drain line flow test | — | ✓ | ✓ |
| Coil fin cleaning | — | Control | ✓ |
| Fan and motor cleaning | — | — | ✓ |
| Motor current and speed test | — | ✓ | ✓ |
| Valve, actuator and air vent check | — | ✓ | ✓ |
| Thermostat check | — | ✓ | ✓ |
| Heating/cooling changeover test at season change | — | ✓ | — |
✓: done on that visit. —: not required in that period.
Maintenance differences by fan coil unit type
Cassette fan coil unit
Accessed from below the ceiling; the panel is removed and the filter, drain pan and drain pump are cleaned. Drain pump and float switch failure is the most common cause of water dripping.
Concealed ceiling (ducted) fan coil unit
Access is needed through a ceiling hatch; the filter is often in the return plenum. Duct and diffuser contamination is also checked, and the access plan determines the maintenance time.
Floor-standing and wall-mounted fan coil units
Easy to access; dust and coil fouling build up quickly inside the cabinet. Filters are cleaned frequently, and the thermostat and fan speed stages are tested.
2-pipe and 4-pipe systems
In 2-pipe systems, valve and thermostat settings are checked at the seasonal changeover; in 4-pipe systems, the heating and cooling coils and both valve sets are tested separately.
Maintenance form: values we measure on site
At every maintenance visit we measure the values below and record them on a per-unit maintenance form. Comparing the form at the next visit helps detect faults early.
| Measurement / check | Unit | Expected |
|---|---|---|
| Room / unit number | — | Based on the equipment inventory |
| Filter condition | — | Clean / replaced |
| Supply air temperature | °C | Close to water inlet temperature in cooling mode |
| Water inlet / outlet temperature | °C | Depends on system design |
| Motor current (per speed) | A | Below the nameplate value |
| Drain flow test | — | Water drains, no overflow |
| Valve / actuator test | — | Short cycling |
| Thermostat | — | Responds to setpoint |
What happens without maintenance?
- Rooms do not cool or heat, complaints increase
- Water overflowing from the drain pan stains the ceiling
- Bad odor and declining indoor air quality
- The fan motor is strained, becomes noisy and burns out
- Energy is wasted because less air passes through the coil
Data: According to the U.S. Department of Energy, replacing a dirty, clogged filter with a clean one can lower an air conditioner's energy consumption by 5–15%. Dirt building up on the fins reduces airflow and lowers the coil's heat absorption capacity. Source
What determines the price of fan coil unit maintenance?
Since maintenance pricing depends on equipment type and site conditions, we do not offer a fixed price list. During the site survey we clarify the items below and provide an itemized written quote:
- Number and type of fan coil units (cassette, concealed ceiling, floor-standing)
- Suspended ceiling access and scaffolding needs
- Filter cleaning or a new filter
- Scope of chemical coil cleaning and disinfection
- Condensate pump, motor or valve replacement
- After-hours work (occupied hotel rooms, hospital floors)
- One-time maintenance or an annual contract?
The maintenance process in 5 steps
- Request: unit type, quantity and location are sent by phone, WhatsApp or form.
- Site survey and inventory: equipment is inspected on site, and the scope and schedule are defined.
- The written quote and maintenance plan are approved.
- Maintenance: measurements are taken, cleaning and checks are carried out, and approval is requested if parts need replacing.
- Report: unit-by-unit measurements and recommendations are delivered in writing.

Frequently asked questions
How often should a fan coil unit filter be cleaned?
In heavily used hotels, hospitals and offices, cleaning every 1–3 months is recommended; in lightly used spaces, at the start and end of the season. Torn or deformed filters are replaced.
Why is my fan coil unit leaking water?
The most common causes are a clogged drain line, a faulty condensate pump, a drain pan that has lost its slope, and condensation on pipes with damaged insulation. During maintenance, the drain line is cleared and a flow test is performed.
What should be done if a fan coil unit smells bad?
Odor is usually caused by water and dirt collecting in the drain pan. The pan and coil are cleaned and disinfected, and the drain is confirmed to be flowing.
Can maintenance be done while hotel rooms are occupied?
Yes. We carry out maintenance floor by floor according to the room occupancy plan and hand rooms back quickly; if needed, we work at night or on weekends.
Is the water system drained during fan coil unit maintenance?
Not required for routine maintenance. For valve or coil replacement, only the affected line is isolated.
How is the price of fan coil unit maintenance determined?
It depends on the number and type of units, ceiling access, cleaning scope and parts replaced. The unit price decreases as quantity increases; we provide a written quote after the site survey.
How do you track maintenance for hundreds of fan coil units?
We list every unit by room or number and report the work and measurements per unit, so you can track when each fan coil unit was serviced.
Do you provide fan coil maintenance outside Ankara?
Yes. We carry out bulk fan coil unit maintenance daily in Ankara and on a project or annual contract basis in other provinces.
